No more getting your weekly podcast episode out last minute or forgetting to share it with your email list. In this post, I’m sharing a few tips on organizing your podcast tasks more efficiently.
Use a Project Management System For Podcast Workflow
The first and most important step is to use a project management system. There are many options out there, like ClickUp, Trello, Asana, Monday. It’s crucial to find the one that works best for you and your business, and then implement a podcasting workflow that is organized, easy to follow, and includes every task needed for your new podcast episodes.
List Out Your Podcast Workflow Steps
Each podcast is different, but there are some workflow steps that are most likely the same for every podcaster. To use your project management system effectively, you need to brainstorm and list out the steps involved in each episode production.
Here’s a list of possible workflow steps to get you started:
- Schedule a date the episode will go live
- Write an episode outline
- Record the episode
- Edit the episode
- Write the show notes for your website
- Write the episode description
- Upload to your podcast platform – Captivate, Libsyn, Buzzsprout, etc.
- Add and schedule the post to go live on your website
- Create the social media graphics
- Write the social media caption copy
- Schedule the social media posts
- Write email newsletter copy
- Schedule email newsletter
Have a Space Within Your System for Episode Ideas
Another step for a streamlined podcast workflow is to have a space within your project management system for episode ideas. That way, you’ll have a list of topics and ideas ready to go when you are planning out your episodes for the next couple of months. You can then move them to the recording section once you have a date scheduled.

A podcast is an incredible marketing tool, but you may not realize how many steps are actually involved in getting an episode out until you start your own podcast. Here’s the beautiful thing about podcasting: if you just want to hit record and have someone else handle the rest, you need a podcast manager.
